Setup guide

Get your laundry running on LAUNDORA

Everything you need to set up your business and train your team, step by step. Most laundries are ready to take their first order in about 15 minutes.

Part 1

Getting started

Sign up, get approved, and sign in on any phone, tablet or computer. There is nothing to install.

1Create your account

  1. Go to laundora.co.za/app and choose Create an account.
  2. Enter your business name, your name, phone number, email address and a password.
  3. If you have a promo code, open Have a promo code? and enter it.

You become the business admin (the owner login). You can add the rest of your team later.

Want to look around first? Use Try the live demo on our home page. It opens a sample laundry with two branches, orders and payments, and it resets regularly.

2Approval and free trial

Our team checks every new business, usually within one business day. Once you're approved your free trial starts, and you'll get an email. Until then, signing in shows Awaiting approval.

No card is needed for the trial. Before it ends, choose a plan and pay under Subscription (see Your subscription).

3Signing in

  • Sign in at laundora.co.za/app with your email and password.
  • Your business also gets its own sign-in page with your logo, for example laundora.co.za/app/your-laundry. Find it under Settings → Team sign-in page, with a QR code to put up behind the counter.
  • After the first sign-in, that phone or computer remembers your business and shows your logo and a "Welcome back" greeting next time.
  • Add it to the home screen so it opens like an app. On Android, open the browser menu and choose Add to Home screen or Install app. On iPhone, tap Share, then Add to Home Screen.
Part 2

Set up your laundry

Do these once, as the business admin. Each step takes a minute or two, and you can change everything later.

1Business profile and VAT Admin

Settings → Business profile
  • Check your business name, phone and address. They are printed on every invoice and receipt.
  • Receipt footer: a short line at the bottom of receipts and invoices, such as "Thank you for your business!" or your opening hours.
  • WhatsApp country code: 27 for South Africa, so WhatsApp messages reach your customers' numbers.
  • VAT registered? Enter your VAT number and rate (15%). New orders then get a tax invoice showing the VAT. Your prices are treated as VAT-inclusive, so they don't change.

3Services and prices Admin or manager

Services & Prices

Your price list is what staff tap when they take an order, so it's worth setting up properly.

  1. New businesses start with an example price list in four categories (Wash, Dry, Fold & Iron · Linen – Wash, Dry & Steam · Duvet inners, comforters & winter blankets · Dry cleaning). Change the prices, delete what you don't offer and add your own.
  2. Use New category to group services, and New service to add one. Choose how it's charged: per kg or per item.
  3. Use the up and down arrows to put categories and services in the order you want. The order form, the till and your booking page all follow it.

With several branches, a service can have a different price at each branch, or be offered at some branches only.

4Collection and delivery fees Admin or manager

Settings → Collection & delivery

Every order is either Drop & Collect (the customer collects it) or Drop & Deliver (you deliver it). Set a default transport fee for each. Staff can still change it on a single order. Leave it blank if you don't charge.

5Team logins and roles Admin

Settings → Team logins → Add login

Give every person their own login, so each order and payment shows who handled it. That makes cashing up much easier.

When someone leaves, open their login and make it inactive. Their history is kept. Share your Team sign-in page link (Settings) with new staff so they always see your logo when they sign in.

6Email for invoices Admin

Settings → Email for invoices

Connect an email account so invoices are sent from your own address. With Gmail:

  1. Sign in to the Gmail account and turn on 2-Step Verification (Google Account → Security).
  2. Open myaccount.google.com/apppasswords, create an app password named "Laundora" and copy the 16-character code.
  3. Enter the Gmail address and that code in LAUNDORA, then Save and Send test email.

Other providers work too: open Other email provider and enter their SMTP server and port.

Note: your normal Gmail password won't work here. It has to be an app password.

7Branches Admin Add-on

Branches → Add branch

One shop? Skip this. Every business starts with one branch. If you run more than one shop:

  • Add each shop as a branch, with its own address, phone, hours and (optionally) prices.
  • When adding a login, choose which branches it can see. Staff only see their own branch.
  • Use the branch selector at the top of the screen to work in one branch or see all of them together.
  • Customers are shared, so one customer can use any of your shops.

Extra branches are an add-on, priced per branch, that you add on the Subscription page.

8Online bookings Admin or manager Selected plans

Settings → Online Bookings
  1. Tick Accept online bookings. Your booking link is shown, with a QR code to download.
  2. Set your opening hours, time slots, how many bookings each slot can take, minimum notice and blocked-out dates (holidays).
  3. Choose which services customers can book online, and set a pickup fee and minimum if you collect.
  4. Share the link on WhatsApp, Facebook and Instagram, and print the QR code for your counter and flyers.

9Inventory Admin or manager

Inventory → New item

Add the things you use (detergent, softener, hangers) and the things you sell (laundry bags, garment covers).

  • Enter the cost price, current quantity and a reorder level so you get a low-stock alert.
  • Tick Available for invoicing for items you sell. They appear on the order form and in the till, and stock comes off automatically.

Setup checklist

  • Business profile, receipt footer and VAT (if registered)
  • Company logo uploaded
  • Price list checked: categories, services, kg or item
  • Collection and delivery fees
  • A login for every team member, and the sign-in link shared with them
  • Email for invoices connected and tested
  • Optional: branches, online bookings, stock items, Point of Sale till
Ready? Take a test order, record a payment, print the receipt and send yourself the invoice on WhatsApp. Then you know exactly what your customers will see.
Part 3

Day to day

What your team does at the counter, and how the money is tracked.

Taking an order

Orders → New order
  1. Choose the customer, or tap New to add one (name and phone are enough).
  2. Choose Drop & Collect or Drop & Deliver.
  3. Tap services from your price list. Change the quantity (kg or items) and add any custom item or stock item.
  4. Set the due date and add notes, such as stains or special instructions.
  5. If the customer pays now, enter the amount and method (or tap Paid in full), then Create order.

Print the slip from the order page to tag the laundry, or give the customer a copy.

Order statuses

Every order moves through Received → Washing → Ready → Collected (or Delivered for delivery orders). Update it from the order page. The dashboard shows what's due today, what's ready and who still owes you.

When an order is ready, use WhatsApp on the order page to let the customer know.

Payments and receipts

An order → Record payment
  • Take cash, card, EFT or other, in full or in parts. The balance is tracked per order and per customer.
  • Every payment gets a numbered receipt you can print or share. Payments & Receipts lists them all.
  • Only admins and managers can delete a payment taken by mistake.

Sending invoices

Every order has an A4 PDF invoice (a tax invoice if you're VAT registered) with your logo. From the order or receipt page:

  • WhatsApp invoice link: sends the customer a private link to the PDF.
  • Share invoice PDF (on phones): attaches the PDF file itself in WhatsApp or any other app.
  • Email invoice: emails the PDF from your own address (after step 6).

Point of Sale and the till Selected plans

Point of Sale

The quickest way to serve a queue: a touch-friendly till with a cash drawer count per branch.

  1. Open the till at the start of the day. Count the change in the drawer and enter it as the opening float.
  2. New sale: tap services and shop items. Change quantities on the ticket. Choose a customer, or leave it as Walk-in customer.
  3. Tap Charge (or press F9), then choose how they pay:
    • Cash: type the cash handed over, or tap a quick amount (Exact, R100, R200…). The change is shown in large green.
    • Card: run it on your card machine first, then confirm in LAUNDORA once it's approved.
    • EFT: confirm once the payment reflects.
    • Split: take part on card and the rest in cash. Or finish with the rest owing, or use Pay later.
  4. Print the receipt, send it on WhatsApp, and press Enter for the next sale.

Collect & pay an order: when a customer comes to fetch their laundry, search for their order, take the balance and tick Hand it over now to mark it collected.

Tick Customer takes it now for items they leave with straight away. It's ticked automatically when you only sell shop items. Leave it unticked for laundry they're dropping off.

Cashing up

  • Cash in/out: record cash added to the drawer (more change) or taken out (a bank deposit, petty cash) with a reason.
  • X report: takings so far by cash, card and EFT, at any time, without closing the till.
  • Close till: count the notes and coins (or type the total). LAUNDORA shows what should be in the drawer (float + cash takings + cash in − cash out) and whether you're over or short, then prints the Z report.
  • Admins and managers find every past cash-up under Till history.
Good to know: any payment taken at a branch while its till is open counts in that till, including payments recorded on an order page. Your cash-up always matches the drawer.

Handling online bookings

Online Bookings

New bookings ring the bell at the top of the menu and appear on the dashboard. Open a booking to confirm, reschedule or cancel it, call or WhatsApp the customer, and Create order when the laundry arrives. Customers who give an email address get an email when their booking is received, confirmed, changed or cancelled, plus a reminder.

Stock

Inventory → an item
  • Restock when a delivery arrives. Enter the total cost and it's saved as an expense too.
  • Record used for supplies used in the shop, and Stock count to correct the shelf count.
  • Transfer moves stock between branches.
  • Items sold on orders or at the till come off stock automatically.

Account invoices and supplier bills Admin or manager

Invoicing

For business customers such as guesthouses: New invoice bundles all their orders for the month into one invoice (ACC-00001), with extra lines, stock items or re-billed expenses if needed. Issue it, send it, and take payments against it. Overdue invoices are flagged.

Supplier bills keeps track of what you owe your suppliers and when it's due. Mark paid records the expense.

Expenses Admin or manager

Expenses → New expense

Log rent, electricity, wages, supplies and anything else by date and category, so your reports show real profit. An expense can be marked to re-bill to a customer on an account invoice.

Reports Admin or manager

Reports

Choose a period to see income, expenses, profit, sales, top services and customers, payments per team member, transport income and stock. Download a PDF report with your logo, or a CSV for Excel. With branches, look at one branch or compare them all.

Part 4

Your account

Your subscription Admin

Subscription
  • See your plan, trial end date, invoices and what your plan includes.
  • Pay online by card or instant EFT through PayFast, or set up automatic payments so you never miss one.
  • Upgrade or Change Plan, add extra branches, or enter a promo code.

If a subscription lapses, the app shows only the subscription page until it's paid, but nothing is deleted. Pay, and everything is back as you left it.

Phones, printers and card machines

  • Devices: any phone, tablet or computer with a modern browser (Chrome, Safari, Edge). A tablet or laptop at the counter works well for the till.
  • Printers: receipts and slips print through your normal print dialog, on an A4 printer or an 80 mm receipt printer. Choose the receipt printer and its paper size in the print window.
  • Cash drawer: most receipt-printer drivers have an "open cash drawer when printing" setting. Switch it on to open the drawer with every receipt.
  • Card machine: use your bank's or provider's machine as usual (Yoco, SnapScan, your bank's terminal), then confirm the payment in LAUNDORA.

Keeping your data safe

  • Never share logins. Give everyone their own, and make leavers' logins inactive.
  • Change your password under Settings → My account.
  • Your business's records are kept separate and private from every other business on LAUNDORA.
  • On a shared counter computer, always Sign out at the end of a shift.
